Is working with large amounts of paper invoices a problem for you? It certainly was a huge one for Toll Brothers, the nation's leading builder of luxury homes.
Their solution was to implement Feith Document Database (FDD) at 11 divisions nationwide and at its headquarters in Huntingdon Valley, PA.
More than 18,000 invoices (90,000 pages) are scanned weekly into FDD - then indexed via Feith's Quick Integrator to populate the FDD database fields directly from the Toll Brothers' PeopleSoft accounting system.
In addition, images from the printed checks coming out of PeoPleSoft are automatically brought into FDD utilizing COLD, enabling a check match with their related invoice(s). Check images and related invoices are saved in the same File Cabinet.
"FDD has proven to be the easiest and best integration with our A/P J. D. Edwards software, says Sue Sasala," Director of A/P. "As soon as FDD was implemented, we did a back file conversion of two years worth of invoices to clear out much needed space. With FDD we've been able to improve our auditing process as well as save space and time. The FDD database has facilitated our research of records and vendor account reconciliation and enabled invoice records from across the country to be at our fingertips."
Besides AP, Toll Brothers uses FDD to manage W9s, 1099s, vendor insurance, AR, and soon payroll records. "In the future we hope to roll out to our legal and conveyancing departments," added Sasala.
Toll Brothers runs it's software on Sun Solaris, Oracle 9i, and Windows 2000; and PeopleSoft software on IBM AS400.
